POS System Troubleshooting
POS System Troubleshooting
Diagnose and fix the most common POS hardware and connectivity issues.
Diagnostic Approach
When something in a POS setup stops working, follow a structured path before replacing hardware:
- Identify the symptom exactly ߀” which device, which action fails
- Check the obvious ߀” power, cables, paper, network connection
- Isolate ߀” does the issue affect one terminal or all? One device or the whole system?
- Test with a known-good ߀” try the device on another port or PC
- Check the logs ߀” POS software logs, Windows Event Viewer, printer self-test
Receipt Printer Issues
| Symptom | Likely cause | Fix |
|---|---|---|
| No response / not printing | Wrong IP in POS config, or printer offline | Print self-test page (hold Feed on power-up) to confirm IP; update POS config |
| Faded / partial print | Dirty thermal head or low paper density | Clean head with IPA on cotton swab; check paper quality |
| Paper jam | Misaligned roll or debris | Remove roll, clear debris, ensure correct roll width (58/80 mm) |
| Print cuts mid-receipt | Auto-cutter fault | Check for paper fragments around the cutter blade; clear with tweezers |
| Printer beeps but does not print | Paper out, cover open, or error state | Check paper, close cover fully; power-cycle to clear error state |
| Prints garbage/symbols | Wrong baud rate (serial) or wrong code page | Match baud rate settings; set correct character encoding in POS software |
Cash Drawer Issues
| Symptom | Likely cause | Fix |
|---|---|---|
| Drawer does not open | Wrong DK cable port, or ESC/POS command not sent | Check cable is in DK port (not phone port); verify POS software sends open command |
| Drawer opens slowly or partially | Worn spring | Replace spring or full drawer assembly |
| Drawer opens without a sale | Physical override used, or software misconfigured | Check that manual key is not left in open position; review trigger settings |
| Drawer opens then jams | Bill caught under the tray | Remove tray, clear obstruction, check tray alignment |
Barcode Scanner Issues
| Symptom | Likely cause | Fix |
|---|---|---|
| Scanner beeps but nothing appears | HID mode ߀” wrong text field focused | Click into the barcode entry field first; check scanner mode |
| Partial barcode scanned | Scanner reads only first N characters | Increase scanner scan width setting; check for damaged barcode label |
| Wrong characters appear | Wrong country keyboard layout | Set scanner to match the OS keyboard layout (program via configuration barcode) |
| Scanner not detected | USB port power issue | Try a different USB port; avoid USB hubs for scanners |
| Wireless scanner disconnects | Low battery or range | Charge base station; move base closer to scanner |
Card Terminal Issues
| Symptom | Likely cause | Fix |
|---|---|---|
| "Connection failed" / timeout | Network issue or firewall blocking port 443 | Ping the terminal's gateway; verify HTTPS outbound is open; check DNS |
| Terminal stuck on "Connecting" | IP conflict or wrong gateway | Verify static IP settings; check no other device has the same IP |
| "Application error" or white screen | Firmware / software crash | Power-cycle the terminal; contact acquirer if it persists |
| Chip card not reading | Dirty or worn chip reader | Clean with a chip cleaner card; if persistent, replace the reader |
| Contactless not working | NFC disabled or faulty antenna | Check terminal settings to enable NFC; faulty antenna requires hardware repair |
| Terminal prompts for PIN on every sale | Acquirer configuration issue | Contact the payment processor ߀” this is a back-end configuration, not a hardware fix |
Network / Connectivity Issues
| Symptom | Likely cause | Fix |
|---|---|---|
| POS cannot reach printer after reboot | Printer IP changed (DHCP) | Set a DHCP reservation for the printer's MAC address in the router |
| Slow transactions | Network congestion or high latency | Move POS to a dedicated VLAN; check for bandwidth-heavy devices on same switch |
| All devices offline simultaneously | Switch or router failure | Check switch power and uplink cable; ping the gateway from a PC |
| Intermittent connection drops | Faulty cable or switch port | Swap cable; try a different switch port |
General Tips
- Always power-cycle in order: network switch ߆’ printer ߆’ terminal ߆’ POS PC
- Keep a log of issues and fixes ߀” patterns reveal recurring hardware failures
- Label cables at both ends ߀” essential in cramped POS counter environments
- Keep spare parts on site: receipt paper rolls, a spare RJ11 cable, a spare USB scanner ߀” most POS failures are minor and fixable in minutes with the right spares
- Backup POS config: export the POS software configuration regularly ߀” restoring to a new PC is far faster with a backup
